Lawful Bases For Processing

Lakeside must have a lawful reason before using personal information. Different reasons may apply to different activities.

Contract To take steps requested before a booking and to create, manage and complete an equipment-hire agreement.
Legal obligation To meet accounting, taxation, consumer, safety or other legal requirements.
Legitimate interests To protect equipment, prevent fraud, improve the service, maintain records and manage or defend legal claims where those interests do not override the customer’s rights.
Consent Where a genuine optional choice is offered, such as certain marketing communications or non-essential website cookies.
Consent: Where processing is based on consent, that consent can normally be withdrawn for future use.
06

Identification may be required before equipment is released. This helps ensure hired equipment is handed to the approved customer and reduces fraud and theft risks.

  • Photographic identification may be inspected or verified.
  • Proof of address may be requested.
  • Information may be checked against booking and payment details.
  • An approved identity-verification provider may be used.
  • Only information reasonably required for the check should be retained.

Lakeside will not knowingly use identity information for unrelated advertising or sell it as customer-profile data.

07

Online payments are expected to be handled by an approved payment processor. Lakeside does not intend to store complete card numbers or security codes inside its own website records.

Lakeside may receive and retain limited payment information such as:

  • Payment status and transaction reference.
  • Payment amount, date and currency.
  • Card type and limited identifying digits.

Where this happens, Lakeside will take reasonable steps to ensure an appropriate legal transfer mechanism or recognised protection is in place.

The exact providers and transfer arrangements will be reviewed before the booking system goes live.

Before launch: Lakeside will create a documented retention schedule setting practical time periods for each record type.
